How do I add a flex field?

Flex fields are created for data points that you want to track beyond the basic fields of data. They are flexible to meet the needs of your unique product tracking. These could be special dates, codes, categories, or other pieces of information you need to capture as part of the specs.

  1. MENU->ADMINISTRATION->FLEX FIELDS
  2. Click the ADD button (bottom right corner, second button from the left).
  3. All fields with a red asterisk must be filled in. Click the CREATE button (bottom left corner, first button from the left) when done.
  4. The CREATE button will now change to SAVE.
  5. Click the SAVE button. The window will then close.
  6. In the Flex Fields window, the newly created flex field will appear inside the grid. Click the “X” (top right, second button from the left).

Tip!

Table Name: This is where you want the flex field to appear.
Key: This should be set to the same as the label and column. Be aware of the rules (see the blue circle with the letter i) if using multiple words. Instead of spaces between words you will need to use an underscore and all lowercase letters or numbers; no special characters.
Type: See below for more detailed explanations.
Label: This is how you will see your flex field labeled.
Column: This is how you will see this labeled in the columns of grids or excel. Typically this and the label are the same.
Default position: This will be the position your flex field sits, typically under a grid of an order (if
placing within an order). This usually makes the biggest difference if one has multiple flex fields. One
flex field would be labeled position 1, the next position 2, and so forth.
Active: This should be set to yes, only switch to inactive if you wish to no longer see this field but do
not wish to delete this flex field.

For the Type:
Autocomplete-Accounts: This will appear as a drop down box with a list of all account names.
Autocomplete-Users: This will appear as a drop down box with a list of all user names.
ComboBox: This will appear as a drop down box.
ComboBox-Yes/No: This will appear as a drop down box with a Yes or No only options.
Date: This will appear as a box to enter in the date.
Date Time: This will appear as a box to select the date and time.
Number: This will appear as a box to enter a series of numbers.
Text: This will appear as a small box that you can enter any type of text.
Text Area: This will appear as a large box that you can enter any type of text.
